What does key management software do?
It keeps a register of every key in the building and a record of every time a key leaves the office and comes back.
- Building and apartment keys recorded with an ID, key type and location
- Sign-outs to contractors with their details, a due-back date and time, and a signature
- Printed passes if a physical pass is needed
- Due-back and overdue notifications so keys do not quietly go missing
- A clear status with signed-in keys shown green and signed-out keys red
- Resident access to their own keys through the resident app, if switched on
How does a key sign‑out work in MYBOS?
A few steps at the desk, and a full record afterwards.
- Choose the keySelect it from the building keys or the apartment's keys.
- Enter the contractor's detailsName and company, plus a due date and time.
- Capture a signatureOn screen or on a signature pad, and print a pass if needed.
- Track itThe key appears in Keys Out until it is signed back in.
- Get alertsNotifications go out when the key is due back or overdue.
How are keys organised?
By location and type, so the register makes sense to whoever is on shift.
MYBOS includes default key locations such as Concierge, Building Manager, Property Manager, Resident, Owner and Security, and you can add your own locations and key types. Keys held by the concierge or building manager can be signed out to contractors, while keys assigned to residents sit separately.
Keys also connect to contractor visits. With MYBOS On-Site Check In, you can see who is on site alongside which keys they hold. See our visitor management system page for more.
Is this a key cabinet or software?
Software. MYBOS is the register and the record, not a physical key cabinet.
Electronic key cabinets control physical access to keys. MYBOS records which keys exist, who has them and when they are due back, as part of the same system that runs your maintenance, contractors and residents. Many buildings use it alongside a locked key cabinet or safe.
