Amenity booking software for apartment buildings

Lift bookings for move-ins, BBQ areas, gyms, tennis courts and meeting rooms all need rules, and someone has to enforce them. MYBOS lets the building manager set those rules once and let residents book themselves.

Amenity bookings are part of MYBOS Resident Experience, used across more than 3,000 buildings.

What does amenity booking software do?

It lets residents book shared spaces themselves, within rules the building manager controls, and keeps every booking on one calendar.

Without it, bookings live in emails, a paper diary or a shared calendar that only the office can edit. Double bookings, missed move-in lift reservations and arguments over the BBQ are the usual results.

What can the building manager control?

Almost everything about how each amenity can be booked.

  • Available slots such as allowing two bookings at once when there are two tennis courts
  • Days off when an amenity is not available on a given day each week
  • Terms and conditions specific to each amenity, accepted when residents book
  • Approvals with bookings shown as pending, approved or rejected
  • Permissions to hide an amenity from apartments that are not allowed to use it
  • Notifications so the manager is emailed when a booking comes in

What about amenities shared between buildings?

MYBOS can share one amenity across buildings, so everyone books from the same calendar.

If you manage multiple buildings that share a lift, pool or BBQ area, the Share With option puts that amenity into each building's booking options. Bookings from both buildings sit together, so there is no double booking between them.

How do residents book?

Through the MYBOS resident app or web portal, if the building manager switches bookings on.

Residents see only the amenities they are allowed to use, choose a slot and accept the terms. The building manager sees every booking in one place and can approve, reject or adjust them. For more on the app residents use, see our building management app page.

“Features like all-in-one calendar, case management, SMS, email and messaging systems promote interaction with the residents and contractors from within the system.”

Amenity booking questions, answered

Which amenities can be booked in MYBOS?

Any shared space or resource your building wants to manage, such as lifts for move-ins and move-outs, BBQ areas, gyms, tennis courts, meeting rooms and guest suites. Each one is set up with its own slots, rules and permissions.

Can we stop some apartments booking an amenity?

Yes. Permissions let you block specific apartments, so the amenity does not appear in their booking options. That is useful when an amenity belongs to one building or tower.

Do bookings need approval?

That is up to you. Bookings move through pending, approved and rejected, so the building manager can review requests, or set amenities up so residents book within the rules you have set.

Can residents agree to terms when they book?

Yes. Each amenity can have its own terms and conditions, such as cleaning requirements for a BBQ or rules for using the goods lift, which residents see when they book.

Can an amenity be closed for maintenance?

Yes. You can set a regular day off, or turn the amenity off and back on when needed, so residents cannot book it while it is unavailable.
