What does facility asset management software do?
It keeps a live register of the equipment your facility depends on, and ties every service, fault and repair back to the asset it belongs to.
Without it, asset information lives in a mix of places: a spreadsheet from handover, warranty PDFs in someone's inbox and service history in the contractor's head. When a pump fails at 6pm, that is the information you need and the hardest to find.
- One record per asset with name, category, technical specifications and location
- Documents attached including photos, manuals and warranty paperwork
- A service contractor assigned with their contact details pulled from your contractor list
- A QR code to print and stick on the asset, so staff can scan it in the app and link a fault in seconds
- Full history of the cases and maintenance carried out on it
Why does asset history matter?
Because patterns only show up when the records are in one place.
A pump that has been repaired three times in a year is telling you something. So is a warranty that expires next month on a unit that keeps faulting. When each repair is logged against the asset, those patterns are visible to anyone who opens the record, not only to the person who has been on site longest.
MYBOS also lets you record purchase dates, asset value and end-of-life value, and export asset data to Excel. That gives owners and committees a factual starting point when they plan replacements.
How does asset management work in MYBOS?
Set the register up once, and every job after that keeps it up to date.
- Add your assetsName, category and location are required. The more detail you add, the more useful the record.
- Attach documents and a contractorWarranties, manuals and photos go on the record, along with the company that services it.
- Generate QR codesPrint and fix them to the equipment for fast fault reporting from the mobile app.
- Link maintenance and faultsScheduled servicing and repairs are recorded against the asset automatically.
- Report and exportReview history and costs, or export the register for owners and planning.
Is an asset register the same as asset management?
Not quite. The register is the list. Asset management is what you do with it.
Asset register
A record of what you have, where it is and the key details for each item. It is the foundation, and most buildings receive some version of it at handover.
Asset management
Keeping that register alive: scheduling servicing, logging faults and repairs, tracking warranties and using the history to plan maintenance and replacements.
For tips on setting up the register itself, read what details you should be putting in your asset register. You can also see the MYBOS building asset management page.
